How to Manage Clients

This guide covers editing client details, organizing clients with tags, and deleting clients you no longer need.

Prerequisites

Before you begin:

  • You must be signed in to your account
  • You must have existing clients to manage

Editing Client Details

Step 1: Navigate to Client Detail

From the sidebar, click Clients, then click on the client you want to edit.

Step 2: Enter Edit Mode

On the client detail page, click the Edit button in the Client Settings card.

Step 3: Update Fields

Modify any of the following fields:

Step 4: Save Changes

Click Save Changes to apply your updates. Click Cancel to discard changes and return to view mode.

Organizing with Tags

Tags help you categorize clients for filtering and organization.

Adding Tags to a Client

  1. Open the client for editing
  2. In the Tags field, start typing to search existing tags
  3. Select tags from the dropdown or create new ones
  4. Save the client

Filtering by Tags

From the Clients list, use tag filters to find clients with specific tags. This is useful when you have many clients and need to focus on a subset.

Deleting Clients

Before Deleting

Consider the following before deleting a client:

  • Projects remain - Projects linked to the client will be unlinked but not deleted
  • Tasks remain - Tasks assigned to the client will be unassigned but not deleted
  • No undo - Client deletion cannot be reversed
  • Activity logged - The deletion is recorded in your activity log

Step 1: Navigate to Client Detail

From the sidebar, click Clients, then click on the client you want to delete.

Step 2: Access Delete Option

Look for the delete action in the client settings or use the dropdown menu.

Step 3: Confirm Deletion

A confirmation dialog appears. Review the warning and confirm deletion.

Step 4: Verify

After deletion, you're redirected to the Clients list. The client no longer appears.

Timezone

The timezone setting helps provide context about the client's location. While it doesn't currently affect scheduling features, it's useful for:

  • Knowing when the client is available
  • Planning meeting times
  • Understanding deadlines in their local time

  • America/Chicago
  • America/Denver
  • America/Los_Angeles
  • Europe/London
  • Europe/Paris
  • Asia/Tokyo
  • Australia/Sydney

Best Practices

Client Organization

  1. Use consistent naming - Establish a naming convention (e.g., "Company Name" vs "Company Name Inc.")
  2. Keep slugs simple - Use short, memorable slugs
  3. Update regularly - Keep client information current
  4. Archive vs delete - Consider using tags like "inactive" instead of deleting

Tag Strategy

  1. Create a tag taxonomy - Plan your tag categories before adding clients
  2. Be consistent - Use the same tags across all clients
  3. Don't over-tag - 3-5 tags per client is usually sufficient
  4. Review periodically - Remove unused tags

Regular Maintenance

  1. Monthly review - Check for clients that need updates
  2. Clean up - Remove or archive inactive clients
  3. Verify links - Ensure projects and tasks are properly linked
  4. Update branding - Keep logos and colors current if clients rebrand

Troubleshooting

Can't save changes

  • Check that required fields (Name, Slug, Timezone) are filled
  • Verify the slug is unique and contains only valid characters
  • Ensure you're connected to the internet

Slug conflict

If you get an error about the slug already existing:

  • Choose a different slug
  • Check if you have another client with a similar name
  • Add a unique identifier to the slug (e.g., "acme-corp-2")

Missing client after save

  • Refresh the page
  • Check your team selection in the sidebar
  • Verify no error messages appeared during save

Can't delete client

  • Ensure you have permission to delete
  • Check if there are any dependencies that prevent deletion
  • Try refreshing the page and attempting again
