How to Use a Playbook

This guide walks you through applying a playbook to a project, creating actionable tasks from the template.

Prerequisites

  • A user account (sign up if you don't have one)
  • An existing project, or you'll create one during the process

Steps

1. Find Your Playbook

Navigate to the playbook you want to use:

  1. Go to /playbooks to browse available playbooks
  2. Click on a playbook to view its details
  3. Review the phases and tasks to confirm it fits your needs

2. Click "Use This Playbook"

On the playbook detail page:

  1. Click the "Use This Playbook" button
  2. If you're not signed in, you'll be redirected to sign up (then returned to the playbook)
  3. A modal opens with project selection options

3. Select or Create a Project

Choose where to add the playbook tasks:

Option A: Use an Existing Project

  1. The "Existing Project" tab shows your projects
  2. Click to select the project you want
  3. A radio button indicates your selection

Option B: Create a New Project

  1. Click the "New Project" tab
  2. Enter a name for your project
  3. The project is created when you apply the playbook

4. Choose an Execution Mode

Select how you want to work through the playbook:

AI Drafts uses your project's name, description, and linked resources to generate relevant starting points. Choose this if you want help getting started on each task.

Manual Mode creates tasks exactly as defined in the playbook. Choose this if you prefer to approach each task fresh.

5. Apply the Playbook

  1. Click "Apply to Project" (or "Apply to New Project")
  2. Wait while the tasks are created
  3. A success message shows how many tasks were created
  4. You're redirected to your project's dashboard

6. View Your New Tasks

After applying the playbook:

  1. Navigate to your project's task board
  2. Find the newly created tasks organized by phase
  3. Each task includes:
    • Title from the playbook
    • Description with guidance
    • Source reference to the original playbook

7. Track Your Progress

As you work through the tasks:

  1. Mark tasks complete as you finish them
  2. Check the playbook progress widget on your project dashboard
  3. See your completion percentage update in real-time

Expected Result

After applying a playbook:

  • Tasks appear in your project, organized by playbook phase
  • Each task has the guidance from the playbook template
  • Progress tracking shows how far through the playbook you are
  • You can work through tasks at your own pace

Troubleshooting

"Please select a project" error

You need to either:

  • Select an existing project from the list
  • Switch to "New Project" and enter a project name

"Failed to create project" error

This can happen if:

  • You have a project with the same name already
  • There's a connection issue

Try using a different project name or selecting an existing project.

AI Drafts option shows "(Plus)"

AI Drafts requires a paid plan. You can:

  • Upgrade to Plus, Pro, or Lifetime
  • Use Manual Mode (available on all plans)

Tasks don't appear in project

After applying, you should be redirected to the project. If tasks aren't visible:

  1. Refresh the page
  2. Check the task board view
  3. Look for tasks labeled with the playbook name

Want to apply the same playbook again

Each playbook can only be applied once per project. To use it again:

  • Create a new project
  • Apply the playbook to the new project
